Addressing 3 Employee Concerns About VoIP Phone Systems

June 9, 2016

VoIP Phone SystemsAs a business owner, executive or other decision-maker, you have decided – or at least, are leaving heavily towards – signing-off on an agreement to shift from a traditional phone system, to an advanced, innovative and DRAMATICALLY more cost-effective VoIP phone system.

However, you may also be hearing rumblings from some employees who are a little concerned that a VoIP phone system, while probably great for executives (and especially CFOs!), may not be the tool that they need to do their jobs smarter and faster.

If you are hearing some of these rumblings or dealing with some of this feedback, then the first thing to keep in mind is that for most people, change of any kind is scary. Even positive change can trigger anxiety, because there is invariably a “feeling out” or transition period when the old leaves, and the new arrives.

And so for starters, do not blame your employees for feeling a little disoriented at this time. It is natural and normal, and believe it or not, it is actually a positive sign – because it means that your employees care about doing a good job!

What’s more, you do not need to wait until your new VoIP phone system is implemented before helping employees grasp why they are going to love it (in fact, the only “complaint” you may get is that you did not switch your phone system sooner!).

Here is a brief rundown of how you can proactively address 3 employee concerns about VoIP phone systems:

Concern: “It will be difficult to learn a new system”

VoIP phone systems are designed to be extremely user-friendly. Essentially, the only learning curve that most employees experience is simply getting familiar with all of the powerful new tools they have at their disposal, such as voicemail-to-email.

And of course, your VoIP Solution Provider will provide your team with ongoing training – which is good news for them, and even better news for your IT staff since they won’t have to handle any inquiries or tickets!

Concern: “The new VoIP phone system will be restrictive or limiting”

On the contrary, the new VoIP phone system will allow your employees to do much more than before. For example, they can use their smartphone to make and receive calls over the system, which is ideal for when they’re working remotely (which many employees love to do!). They can also make calls over their computer (e.g. softphone), or route calls to a landline if that’s more efficient and convenient.

Concern: “The new VoIP phone system will slow down our internet access”

You can assure your employees that this will simply not happen. Long before the system is implemented, your VoIP Solutions Provider will conduct a series of tests to ensure that your internet bandwidth is suitable for all of your needs – including of course your new phone system, but also all of your other communication (e.g. email, web chat, browsing, file sharing, etc.). If additional bandwidth or faster routers are needed, they will be put in place. Indeed, because of this, many employees actually experience faster internet access after the VoIP phone system is implemented vs. before!
