How Cloud Faxing Brings the Fax Into the Future

October 17, 2016

cloud faxingThink faxing is dead? Think again! As noted by FORTUNE, industries like finance, law, and health care have used faxes for decades, and continue to do so today as at least a secondary – or in some cases, primary – means of business communication (e.g. faxing prescriptions, doctors’ orders, contracts, etc.).

However, for most businesses, what is firmly thrown into the dustbin of history are physical fax machines. Instead, what’s taking over – and bringing faxes into the future – are advanced, cost-effective cloud faxing solutions.

Below, we highlight the key ways that cloud faxing could be ideal for your business, and help streamline your communication with customers, vendors and other stakeholders:

Receive Faxes as Email Attachments

In the past, receiving a fax meant standing beside an old fashioned fax machine and waiting for the transmission to finish. Not only was this a waste of time and paper, but it meant that recipients had to physically pick up their fax hours – or possibly days – after it was sent.

But with cloud faxing, faxes are automatically routed to one or more email addresses. As such, faxes can be “picked up” anytime and anywhere as PDFs– including remotely via a data connection when Wifi access isn’t available.

Categorize and Store Faxes

One of the most tedious and frustrating aspects of faxing in the past is that by the end of the day, there would typically be a messy inbox or file full of faxes – and as such, various employees had to sift through them to look for their specific fax.

However, with cloud faxing, all faxes are automatically categorized based on customized business rules. For example, all faxes sent to a member of the sales team can be stored in the “Sales Team” folder (or to drill even deeper, purchase orders can be sent to a sub-folder and kept separate from sample requests, etc.).

View Transmission History

In the past, one of the least inspiring phrases uttered in the work environment started with the words “Has anyone seen that fax…?”. This was especially problematic if key employees were sick, on vacation or had left the organization. Trying to find faxes was an exercise in frustration and, often, futility.

With cloud faxing, this problem simply can’t arise – because at any time, authorized users can view the full fax history via an easy-to-use portal. They can see what’s been sent and received, and if applicable, what’s pending to be sent at a future time.

Local or Toll Free Number

Previously, one of the biggest sources of profit for traditional phone companies – and most irritating expenses for businesses – was having to purchase an additional dedicated fax line. Even if it was used for less than 30 minutes a day, businesses received a monthly bill in the hundreds of dollars. And the cost burden was even higher for toll-free numbers.

This is no longer an issue with cloud faxing. There’s simply no need for a second phone line, since (as the term suggests) everything is routed through the cloud. Having a toll-free number is also simple and very cost-effective, and businesses can even port their current fax number if desired.
